API Integration for Your Business System: Let Your AI Assistant Answer From Live Data
Connecting your AI assistant to a system your business already uses — your own software, e-commerce backend, CRM/ERP, booking panel or a custom database — via an API means the assistant answers from live data in that system instead of static text. When a customer asks "where's my order?", the assistant reads the real shipping status; when they ask "do you have this in stock?", it checks live inventory. API integration turns the assistant from an FAQ bot into a customer rep wired into your real systems. This feature is exclusive to the Custom plan, and each integration is built to fit the business.
What is an API integration?
An API (Application Programming Interface) is the bridge that lets two pieces of software exchange data. If the system your business uses has an API — as most modern e-commerce, CRM, ERP and booking systems do — the Talkano assistant can read information from that system through the API. So the assistant speaks not only from the Q&A you entered in advance, but from whatever is in your system right now.
In short: your Q&A knowledge base is static (opening hours, return policy). An API integration is changing, live information (stock, price, order status, availability).
What is it good for? Concrete scenarios
Order and shipping status. The customer sends an order number; the assistant reads the order's status and tracking info from your system and answers instantly. "Where's my order?" is one of the most repeated and time-consuming questions — with an API it's fully automated.
Stock and live pricing. For questions like "do you have this in size 40?" or "what's the sale price?", the assistant answers from live stock and price data. You don't have to keep prices updated by hand; the source is always your system.
Booking and appointment availability. Hotel, clinic, salon, restaurant… The assistant reads open slots on the calendar, suggests suitable times, and creates a pre-booking in the right flow. (For hotels we also have a ready HotelRunner connection that pulls rooms and rates live.)
CRM / account and customer history. The assistant can recognize the customer and give a personalized answer based on past orders or account status. In B2B, questions like "what's my balance?" or "my last invoice?" become automatic.
Custom database or internal panel. A system you built yourself, an industry-specific panel or table… If there's an API or an access point, we connect the assistant to it. Don't assume "our system is different" — the integration is built to fit your needs.
Live data, not static text
A standard assistant knows only as much as the knowledge base you entered. That's enough for most questions. But for constantly changing information — stock, price, orders, availability — static text goes stale fast and leads to wrong answers. With an API integration, the assistant checks your system before answering; the answer is always current and comes from a single source: your system. Trust lost to a wrong "it's in stock" is one of the most expensive mistakes.
Security and control
Integrations are read-first by default: the assistant reads information and won't perform an action you haven't allowed (canceling an order, taking a payment, etc.). We decide together which data is exposed to the assistant and which actions can be automated. Access keys are stored securely, and with the assistant's "closed-box" architecture no raw key or credential leaks to the model. In short, you decide how much to open up.
Which systems does it work with?
Almost any system with an API or an access point: Shopify, WooCommerce and similar e-commerce backends; CRM/ERP software; booking and appointment systems; your own custom software. If your system isn't on the list, that's fine too — because the integration is built specifically for the business, it's set up to fit your needs.
How to get started
API integration is exclusive to the Custom plan. From Connections > API Integration in the panel, or the Custom plan request form, tell us which system you want to connect and what you need. Our team assesses fit, clarifies scope, and builds the integration. In a short technical call we decide together which data will answer which questions.
Frequently Asked Questions
Which plan includes API integration? It's exclusive to the Custom plan. Because each integration is built to fit the business, scope and price are set according to your needs.
Our system doesn't have an API — can it still work? In most cases there's an access point (an API, a data export, or a panel). We review the system with you and find the best route.
Does the assistant make changes in my system? By default it only reads. Actions like creating an order are added only if you explicitly allow them, in a controlled way.
How is it different from the Q&A knowledge base? The knowledge base is static (hours, policies). An API integration is live, changing data (stock, price, orders, availability). The two work together.
How long does setup take? It depends on the system's API and the scope. After a short call we share a clear timeline and quote.
